Job Overview: We are seeking a highly organized and proactive Virtual Team Manager to join our team. This role will be responsible for supervising all VA team responsibilities, ensuring production and execution are up to company standards. The ideal candidate will oversee various aspects of our operations, including resident retention efforts, supervising marketing activities, appointment setting, analytics, and management assistance. This role requires excellent leadership skills, strong analytical abilities, and a knack for problem-solving.
Key Responsibilities:
- Resident Retention Efforts:
- Develop and implement strategies to increase resident retention to a 70% renewal rate.
- Conduct regular check-ins with residents to address concerns and gather feedback.
- Follow up on work orders to ensure timely completion and resident satisfaction.
- Supervising Marketing:
- Ensure all social media posts are scheduled for properties at least 3 times per week per property.
- Oversee the preparation and sending of monthly newsletters for each property.
- Ensure 5-star reviews are remarketed weekly.
- Oversee Craigslist marketing and birthday recognition efforts.
- Ensure all retention marketing activities are completed.
- Supervising Appointment Setting:
- Lead and manage the appointment setting team, ensuring each team member meets performance goals each day.
- Spot check calls occasionally to maintain quality.
- Address low performance and bring productivity issues to the owner’s attention.
- Supervising Analytics and Management Assistance:
- Ensure all managerial tasks are progressing as planned.
- Perform check-ins through Asana on all tasks.
- Analyze data to provide insights on operational efficiency and performance.
- Assist in creating reports and presentations for management.
- Identify areas for improvement and suggest actionable solutions.
- Organizing and Structuring VA Responsibilities:
- Delegate tasks to virtual assistants and ensure timely completion.
- Provide training and support to VA team members, reinforcing and educating as necessary.
- Implement and maintain organizational systems and processes.
- Reporting Problems and Developing Solutions:
- Act as the primary point of contact for problem reporting.
- Analyze issues, develop potential solutions, and present them to the owner for selection.
- Implement chosen solutions and monitor their effectiveness.
Tools and Software:
- Asana
- Slack
- Resman
- KnockCRM
- Google Suite
Team Management:
- Supervising 4-6 virtual assistants.
- Weekly scorecards and monthly production reports.
- Primary targets: Lead Conversion to Lease and Renewal Rates.
Qualifications:
- Minimum of 10 years of proven leadership capabilities and project management experience.
- Certifications related to the position are highly desirable.
- Strong understanding of marketing principles and strategies.
- Excellent organizational and multitasking skills.
- Ability to work independently and make informed decisions.
