Virtual Assistant – Sales and Events Outreach Coordinator
The Virtual Assistant plays a crucial role in expanding our network of event organizers, exhibitors, and vendors while promoting our platform. They are responsible for building and maintaining strong relationships within the firearms and knife show industry, ensuring the growth and success of our website. This virtual position offers the flexibility to work from home while assisting with communication with promoters and events coordinators via email and making outbound warm phone calls. skills are essential for this role.
After the initial 90-day period, there will be a review to determine the ongoing structure of the position. Depending on business requirements and individual performance, the role may transition to part-time duties or pivot to take on additional duties elsewhere.
Essential Functions and Responsibilities*:
- Research, identify, and reach out to gun and knife show organizers, exhibitors, and vendors to promote our platforms services.
- Collaborate with potential clients to understand their event listing needs, create new events pages, and upsell our advertising packages.
- Develop and maintain a sales pipeline, tracking progress and follow-up activities.
- Create and edit new events on the Gun Show Trader website as needed.
- Assist in coordinating and promoting featured events on our website.
- Collaborate with event organizers to ensure accurate and up-to-date event listings, providing edits as needed, and communicating routinely with promoters and event organizers.
- Provide support to event organizers in optimizing their listings and marketing strategies.
- Generate quality, engaging content, such as articles, blog posts, or newsletters, related to the firearms and knife show industry to attract and inform our audience.
- Build and maintain strong relationships with new and existing clients and partners.
- Provide excellent customer service and address inquiries and concerns promptly.
- Conduct internet research and keep a running list of new events and opportunities to add to the Gun Show Trader website.
- Stay up to date with industry trends and competitors to identify new opportunities and strategies for growth.
- Analyze market data and user feedback to make data-driven decisions.
- Conduct routine follow-up calls and emails to ensure a high level of customer service and client satisfaction.
- Create and send invoices to promoters and events coordinators for payment using PayPal for the various advertising upsells.
- Accurately enter and update client information and notes into relevant databases and systems, to include any CRM databases we decide to use.
- Monitor and manage relevant email inboxes, ensuring timely responses and organization of important communications.
- Assist with various administrative duties as required to support the team at Gun Show Trader.

Knowledge, Skills, and Abilities
- Ability to communicate effectively, both orally and in writing in English
- Self-starter
- Strong work ethic
- Comfortable talking to people on the phone
- Strong organizational skills and attention to detail.
- Proficiency in computer applications and tools, including Microsoft Office and Google Workspace and CRM tools
- Ability to work independently and manage time effectively in a remote work environment.
- Excellent interpersonal skills and a professional, customer-centric approach. High level of confidentiality and discretion when handling client information.
Required Qualifications:
- 1 or more years of administrative and customer services experience
- Strong analytical skills and critical thinking skills
Preferred Qualifications:
- Previous experience in sales, outreach, events
