RESPONSIBILITIES

  • Assisting Property Management with day-to-day operations and tenant relations by coordinating tenant requests and administering maintenance services
  • Answering and routing phone calls from tenants and vendors to the appropriate contact within Property Management and/or dispatching personnel based on immediate needs
  • Providing assistance to tenants and vendors in scheduling building maintenance, communicating building procedures, and providing general building information
  • Delivering high-quality customer service, updating and maintaining current daily and emergency tenant contact lists, and tenant information manuals
  • Supporting Property Managers by producing, modifying, and distributing various forms, spreadsheets, manuals, information packages, and miscellaneous typed information
  • Processing correspondence for tenants, contractors, and other third parties for Property Management staff
  • Maintaining and updating insurance certificate files for all contractors performing work at the properties
  • Assisting with scheduling contractor work and coordinating with tenants
  • Contributing to overall office operational needs by providing phone coverage and ordering supplies
  • Maintaining and updating all tenant contact information and after-hour access as necessary
  • Managing reported Risk Management Policies and Incidents immediately upon occurrence, emergency contact information, as well as a master tenant contact email address listing

QUALIFICATIONS

  • Knowledge of office and accounting procedures
  • Exceptional computer skills – MS Office Suite
  • 2-3 years of administrative experience in a commercial leasing office environment
  • Familiarity with facilities operations
  • Excellent customer service skills
  • Strong ability to work independently; ability to research and problem-solve
  • Demonstrated knowledge of phone and email procedures and etiquette
