The Reception Supervisor is responsible to ensure that all reports needed from the Front Office is accurate and up-to-date. Monitor and manage the front desk to assure that best customer service is being provided to our guests. Should there be complaints or concerns, this should be handled efficiently. Reconcile daily point of sales accounts, mindful of any inconsistencies that may appear. Ensure smooth operations of the rooms and coordinate with housekeeping as well as manage bookings to ensure that occupancy is maximized. Coordinate as well with management for any maintenance and malfunction issues.
RESPONSIBILITIES:
  • Receive Mad Monkey guests to the hotel by greeting them warmly, and attending to their inquiries and also answer inquirers over the phone.
  • Inform Mad Monkey guests of the services, tours and accommodation rates in the hotel, make reservations for guests according to their needs, and also make sure that all reservations cancelled are affected immediately to avoid confusion.
  • Build good relationships and rapport with Mad Monkey guests to make them feel comfortable and address any complaints they might have in a very courteous manner to protect the image of the hotel.
  • Keep clear and comprehensive records of guest room bookings and all billings for accountability and future reference.
  • Maintain orderliness at the front desk by arranging documents accordingly and keeping the front desk area clean at all times to avoid rowdiness.
  • Attend to all routes of room bookings, such as online, phone, and in person, to ensure that reservations are not left hanging but attended to promptly to keep the hotel business running
  • Report issues of maintenance and malfunctioning appliances to the General Manager for quick repair in order to ensure guests comfort and satisfaction
  • Train receptionist team in front office tasks
  • Oversee team member on a daily basis
  • Schedule shifts and arrange for replacements in cases of absence
  • Establish and educate team members on front office standards
  • Motivate team members and resolve any issues that occur on the job
  • Respond to customer complaints and special requests inline with General Manager

Health and Safety
  • Proactively support the company’s health and safety agenda.
  • Ensure all team members are aware of their Health and Safety responsibilities as required by the company Health and Safety Policy, monitor compliance with procedural requirements.
  • To be aware of and comply with safe working practices as laid down under the Health and Safety policy as applicable to your place of work, including awareness of any specific hazards in your Workplace.
  • Ensuring the wearing of appropriate protective clothing provided by or recommended by the Company will be obligatory and ensure this is applied across all departments where applicable.
  • Report any defects in the building, plant or equipment according to hostel procedures
  • Ensure that any accidents to team members, guests, customers or visitors are reported immediately in accordance with correct procedures and ensure awareness of these procedures across the division.
  • Attend Statutory Fire and any relevant Health and Safety training, be fully conversant with and abide by all rules concerning Fire and Health and Safety. Be vigilant in ensuring this is managed effectively across the operation.
  • To be fully conversant with All Risks Assessments for your departments, COSHH Regulations, Fire and Bomb Procedures and ensure the team are up to date and proactively manage their responsibilities in these areas.
  • Be ready for company audits and ensure remedial actions are followed, presenting financial costings and project plans where required.
