RESPONSIBILITIES

  • Provide administrative support to office personnel, including managing calendars, scheduling appointments, and handling correspondence
  • Assist with real estate transactions or title processes by organizing and maintaining documentation, and coordinating with clients, lenders, and other parties involved
  • Prepare and distribute marketing materials, such as flyers and social media posts, to promote properties and attract potential clients
  • Conduct research on properties, realtors/agents, and lenders to determine target markets and input new clients into the CRM
  • Manage CRM databases and client contact lists, ensuring accurate and up-to-date information
  • Coordinate closings and communicate relevant information to all parties involved
  • Provide excellent customer service to clients, addressing inquiries, resolving issues, and ensuring a positive experience throughout the transaction process

QUALIFICATIONS

  • Proven experience as a Virtual Assistant in the US real estate or a US title company
  • Strong knowledge of real estate terminology, processes, and regulations, or the ability to learn this information quickly (within one month)
  • Familiarity with real estate transaction management software, CRM systems, and other relevant tools (e.g., SoftPro, Monday.com, MS Dynamic 365, etc.)
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues
  • Exceptional organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace
  • Ability to work independently in a remote environment while maintaining high productivity and meeting deadlines
  • Flexibility to adapt to changing priorities and business needs
