HR Assistant

Job Overview:

Responsible for providing administrative support by documenting staff changes, performance reports, and communications. Duties includes but not limited to scheduling onboarding tasks, processing payroll updates and managing communications for HR department; responsible for assisting and coordinating aspects of payroll in conjunction with finance department while also responsible for trouble shooting payroll issues with staff.

Duties and Responsibilities include but are not limited to:

· Generate and analyze needed reports

· Responsible for the timely processing of timekeeping for payroll and the submission of mandatory remittances for employees

· Assists in staff concerns with regards to mandatory benefits and loans.

· Responsible for tracking the hours worked by employees.

· Ensures everyone is paid fairly for the time they spend on the job

· Provide administrative and liaison support for compensation and benefits program

· Survey or through network of contacts in similar industries

· Adhere to the government wage order.

· Align the compensation to the minimum requirement of the government

· Responsible in the implementation of health program of the company

· Ensures that employees are aware of the self-administered program

· Ensures that reports are submitted before the set deadline.

· Provide administrative and liaison support for compensation and benefits program

· Survey or through network of contacts in similar industries

· Adhere to the government wage order.

· Align the compensation to the minimum requirement of the government

· Responsible in the implementation of health program of the company

· Ensures that employees are aware of the self-administered program

· Ensures that reports are submitted before the set deadline.

· Maintains office files and replenish forms as needed

· Coordinates repairs of office equipment to concerned department

· Coordinates with Maybank and other banks messenger regarding pick up of documents

· Greets and assists visitors

· Answer phone calls, as much as possible, make it ring just twice when youre not busy.

· Answer phones, direct calls and inquiries by providing the needed information and making the appropriate transfers, but make sure that the person has an appointment or that the contact person is around.

· Make sure that theres always a reliever on your post when you are not around or taking a break.

· Coordinates with Facilities

· For any tenant related concerns (delivery and pull out permit).

· Monitor conference room reservations and make sure that the remote control is properly kept, consumption properly of water delivery and office paper supply

· Dont make visitor wait too long, make follow ups to the person involve.

· Review/Revise the Performance Management System for continued relevance to the needs of the business and to contribute to the achievement or organizational objectives and goals.

· Work with business unit heads and HR business partners in the design, development/revision and documentation of job description aligned to the organization structures and business plan objectives.

· Ensure that the department heads will submit the appraisal on the given time

· Coordinate with the department head regarding the schedule of performance management deliberation

· Provide guidance to employees on HR policies and practices

· Provide advice and guidance to line leaders of ensuring proper and timely implementation of the Corrective Action Policy and take the lead of implementation of defined levels of employee relations issues

· Continue database of Memorandum of Agreements with accredited schools

· Manage the Practicum and Apprenticeship Program of the organization
