Key Responsibilities:1. Administrative Support:
o Provide high-level administrative support to real estate executives, including managing
calendars, scheduling meetings, and organizing travel arrangements.
o Draft, proofread, and edit correspondence, reports, presentations, and other
documents.
o Prepare meeting agendas, take minutes, and follow up on action items.
2. Real Estate Transaction Coordination:
o Assist in the preparation and organization of property listings, contracts, leases, and
closing documents.
o Communicate with clients, agents, lenders, and other stakeholders to facilitate smooth
transaction processes.
o Monitor deadlines and ensure timely completion of required documentation.
3. Client Relationship Management:
o Serve as the primary point of contact between clients and the real estate executive.
o Handle client inquiries, provide updates on property status, and schedule property
showings or meetings.
o Maintain a positive client experience by ensuring all client needs and concerns are
addressed promptly.
4. Database and File Management:
o Maintain and update real estate databases, CRM systems, and physical/electronic
filing systems.
o Track and manage client information, property listings, contracts, and financial records.
o Ensure data accuracy and confidentiality in handling sensitive information.
5. Market Research and Analysis:
o Conduct research on local real estate markets, including property values, market
trends, and investment opportunities.
o Assist in preparing comparative market analysis (CMA) reports and other research for
prospective clients or projects.
o Stay informed about industry trends, new developments, and changes in regulations.
6. Event and Meeting Coordination:
o Organize real estate events, open houses, and property showings.
o Schedule and coordinate team meetings, conferences, and client presentations.
o Manage logistics for real estate-related events, including venue arrangements,
catering, and attendee management.
7. Financial and Reporting Tasks:
o Assist in budgeting, expense tracking, and preparing financial reports related to real
estate transactions or company operations.
o Process invoices, handle payments, and maintain accurate financial records.
o Support executives in monitoring project profitability and other financial metrics.
8. Property Management Support:
o Coordinate property maintenance requests, repairs, and inspections.
o Liaise with contractors, vendors, and tenants to ensure properties are well-maintained
and compliant with regulations.
o Assist in managing leases, rent collections, and tenant communications.
Qualifications:
- Proven experience as an executive assistant
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Knowledge of real estate transaction processes, contracts, and industry regulations.
- Proficiency in office software (e.g., Microsoft Office, Google Suite)
- Ability to multitask, prioritize, and work in a fast-paced environment.
- Discretion and confidentiality in handling sensitive information.
Job Type: Full-time
Pay: Php30,000.00 - Php35,000.00 per month
