About the Role

We are a Singapore-based Indian Wedding Planning & Events Coordination Company looking for a Virtual Wedding Project Coordinator to join our remote operations team.

You will work from home and be responsible for managing planning timelines, to-do lists, coordination tasks, and daily follow-ups for our wedding clients. All sales are already handled by our Singapore team — your role is to ensure every detail is well-executed and nothing is missed.

Responsibilities

• Create and manage detailed to-do lists for wedding projects
• Maintain and update wedding timelines, checklists, and task trackers
• Daily follow-up with clients, vendors, and the internal team via WhatsApp and email
• Schedule and coordinate online meetings (Zoom or Google Meet)
• Track and organize client inputs including music preferences, decor notes, production briefs, etc.
• Prepare simple documents like seating charts, music coordination lists, and wedding day plans
• Support the on-ground wedding day team remotely by keeping the planning process on track

Requirements

• Minimum 2 years of experience in virtual assistance, project coordination, or event planning
• Excellent spoken and written English
• Highly organized, detail-oriented, and good at multitasking
• Comfortable using Google Sheets, Google Docs, WhatsApp, Zoom, Trello or similar tools
• Ability to manage multiple clients and deadlines at once
• Willing to work across time zones and be available during key planning moments
• Knowledge of Indian wedding traditions and structure is a strong advantage
