Executive Assistant - Australian Account

Responsibilities:

• Personal expense reconciliation and entry into Deltek for Senior Staff and Manager

• Credit Card Reconciliation and entry into Deltek for Senior Staff and Managers

• Processing payment of invoices for external providers

• Maintaining forecasting records (internal projects and budgets) and ensuring they are up to date and accurate

  • Logs marketing calls and meeting/catch-ups into Deltek activities for Senior Staff and Manager
  • Sets up all go-to meetings and teleconferences

• Client & Market Research and preparation of presentations/reports on same

• Booking Meetings for Employees (Junior to Senior Staff)

• Contacts Management

• Manage scheduling and booking of travel

• Assist in organising presentations and reporting

• Assist with data analysis

• Assist with project reporting & planning using Jira software

• Assist with tracking project progress, and maintaining risk and benefits registers

• Chasing up input into reports from internal managers

• Filing / document control for documents relating to the strategic projects

  • Organising and coordinating training bookings and payment (internal and external)
  • Establish and maintain effective liaison with other NDY staff and with external business contacts and ensure NDY client database is updated and maintained; and

• May be required to assist to coordinate staff and client events

• Schedule in all relevant one off and reoccurring meetings and reviews (including 8 weekly informal performance reviews, Thrive, Probationary reviews) and ensure relevant correspondence is completed and filed accordingly;

• Liaise with Team Assistants to ensure discipline duties for nominated Executive are adequately min relation to diary operations and availability; and

• Support and assist the local and offshore administrative team;

Qualifications:

standard of performance and conduct in accordance with the company's Values,

Code of Conduct, policies and procedures and reasonable business directives

• Degree qualified in a relevant field of study (desirable)

• Minimum 2 years of experience in a PA/Team Assistant position or equivalent

• Experience with supporting multiple people in the Engineering

industry or equivalent

• Relevant experience in providing administrative services, meetings,

minute preparation & reporting

• Well- developed keyboard & computer skills with an advanced working

knowledge of Microsoft Office, internet & email applications

• Typing speed of 70wpm with at least 98% accuracy

• Strong communication and interactive skills to enable professional

interaction with a range of people including senior executives, other

employees and clients

• Ability to maintain confidentiality

• Ability to work independently with little supervision on required tasks

• Promotes a cohesive work and team environment. Demonstrates a

proactive work ethic and helps team out with other related activities

• Strong organisational and time management skills

• Ability to maintain quality of output even under times of pressure

• Adapts well to new situation and is calm in challenging situations

• Ability to learn new NDY software applications quickly
