Inventory Specialist
We are seeking an experienced Inventory Specialist to manage the post-purchase inventory lifecycle in NetSuite across six sites in the U.S. and Mexico (including four U.S. distribution centers and two manufacturing facilities in Mexico).
This role ensures items are accurately set up, received, stored, transferred, adjusted, and reconciled in NetSuite with >95% accuracy. You will play a critical role in reducing back orders, maintaining clean item masters, improving reporting, and driving visibility for Sales, Customer Success, and Leadership teams.
This is a hands-on role requiring strong process discipline, proactive communication, and flexibility to take on additional projects as directed by the Operations Manager.
Core Outcomes (90-180 Days)≥95% cycle count accuracy at each site with a documented ABC program.
Zero negative inventory and clean item masters (naming, UoM, bins, cost, ROP/min-max, lead times).
Daily exception dashboards live in NetSuite; weekly KPI deck; monthly close & valuation tied out to GL.
Reduction in back-orders and stockouts through disciplined ROP/safety stock review and transfer/work order planning.

Item/SKU Master Data
Create/maintain items, classes/departments, UoM, barcodes/UPCs, preferred vendors, and lead times.
Govern costing methods (Avg/FIFO/Std), bins/locations, lot/serial flags, and statuses.
Maintain attributes: aliases, kits/assemblies, tax codes, landed-cost settings.

Costing & Valuation Control
Ensure accurate item receipt; vendor bill matching; configure landed-cost allocation rules.
Perform inventory revaluations; monitor COGS alignment; reconcile GL monthly.

Replenishment & Planning
Configure/maintain ROP, safety stock, and reorder intervals.
Leverage demand planning/supply plans where applicable.
Build and monitor transfer orders (TOs) and inter-site visibility for DCs.
Coordinate work orders (WOs) with manufacturing.

Transactions, Warehouse & Production Controls
Oversee item receipts, bin transfers, adjustments, inter-site TOs, and putaway adherence.
Manage work orders: completions, variance capture, reconciliations.
Partner with receiving/production to prevent errors and resolve variances.

Cycle Counts & Accuracy
Implement ABC cycle counting; analyze variances; drive corrective actions.
Eliminate negative on-hand/ghost stock; investigate systemic issues.

Reporting, Analytics & Dashboards
Build/own SuiteAnalytics dashboards and Saved Searches.
Monitor daily exceptions, weekly KPIs, and monthly valuation.

Close & Compliance
Lead inventory portion of period close; review TOs/WOs/WIP.
Maintain SOPs, logs, and variance records.

Communication & Stakeholder Management
Proactively notify sites of inbound POs/TOs/WOs and shortages.
Partner with Operations, Production, Procurement, CS, and Finance to resolve issues.

Scope & Flexibility
Undertake special initiatives and strategic projects as directed.
Daily: Clear exceptions, confirm inbound, approve adjustments, update dashboards.
Weekly: ROP/min-max review, TO/WO planning, KPI deck review, root-cause analysis.
Monthly: Inventory valuation tied to GL, cycle counts, close checklist completion.
Bachelors degree in Business, Supply Chain Management, Industrial Engineering, Operations, Finance, or related field. Certificates will be required.
Equivalent experience may be considered.
Preferred: Six Sigma Yellow or Green Belt (Lean/Process Improvement coursework a plus).
Nice-to-have: APICS/ASCM CPIM or CSCP; NetSuite SuiteFoundation or ERP Consultant certification.
5+ years hands-on with NetSuite Inventory/SCM in multi-site environments (DCs + manufacturing).
Strong Item Master expertise (items, UoM, bins, costing, statuses, configurations).
Transactions: Item receipts, transfers, bin moves, WOs, adjustments, revaluations.
Replenishment: ROP/min-max, safety stock, lead times, demand planning.
Cycle counting methodology (ABC), variance analysis, corrective action.
SuiteAnalytics dashboards & exception reporting.
Landed-cost configuration and vendor bill matching.
Inventory period close reconciliations.
Multi-location transfers and in-transit tracking.
Advanced Excel (pivots, lookups, text/data functions, query tools).
Process improvement mindset; Six Sigma mindset and Operational Excellence methodologies preferred.
Strong communication skills; ability to influence across teams without authority.
Experience with WMS (e.g., RF-SMART, scan flows) or 3PL integrations/EDI a plus.
SuiteFlow/workflow configuration knowledge a plus.
