Real Estate Administrative Assistant - Agent Support
Location: Office-based, JDN, Mandaue City
About the Role
We are seeking a detail-oriented and organised Real Estate Administrative Assistant - Agent Support to join our real estate team. This office-based role requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. You will handle various administrative tasks, including data entry, diary and calendar management, booking meetings, providing ad-hoc support, and potentially contacting clients. This is a great opportunity to contribute to the smooth operation of an Australian real estate business.
Your Responsibilities
Sales Support: Assist agents with property sales, including contracts, sales files, and property listings.
Client & Property Management: Update client and property details in the system.
Marketing Assistance: Book and organize photography, floorplans, and copywriting for property listings. Order signboards, brochures, and newsletters for properties for sale.
Diary & Calendar Management: Schedule meetings and appointments for agents.
Compliance & Documentation: Organize and manage important real estate documents.
Trust Receipting: Process sales trust receipts with accuracy.
Database Management: Keep records updated and organized.
Reporting: Prepare weekly reports for the team.
Agent & Client Support: Assist agents with inquiries and provide general client support when needed.
What We're Looking For
Must have experience in Australian real estate (sales admin/support).
Strong English communication skills (written and verbal).
Excellent organization and attention to detail.
Ability to manage multiple tasks efficiently.
Customer-focused and able to handle inquiries professionally.
Proficient in Microsoft Office, CRM systems (RP Data/CoreLogic), Campaign Track, and Adobe Acrobat.
Typing speed of at least 35 words per minute.
Bonus: Experience with AgentBox and basic Photoshop is a plus!
