The Real Estate Documentation Specialist is responsible for handling and processing all documentation related to real estate transactions, including land titling, title transfers, land conversion, land reclassification, deed preparations, and compliance with regulatory requirements. This role ensures that all documents are accurate, complete, and compliant with government regulations for smooth property transactions.
Key Responsibilities:
1. Land Titling & Title Transfers
· Process the transfer of ownership for real estate properties, ensuring all necessary documents are complete.
· Coordinate with the Land Registration Authority (LRA), Registry of Deeds (ROD), and local government offices for title processing and verification.
· Prepare and review Deeds of Sale, Deeds of Donation, and other legal instruments required for title transfers.
2. Land Conversion & Reclassification
· Assist in land use conversion applications with the Department of Agrarian Reform (DAR) for converting agricultural land into residential, commercial, or industrial use.
· Process land reclassification applications with the Housing and Land Use Regulatory Board (HLURB) and local government units (LGUs) to change land zoning classifications.
· Ensure compliance with zoning laws, comprehensive land use plans (CLUP), and local ordinances.
· Work closely with government agencies and legal teams to obtain necessary approvals and certifications.
3. Documentation & Legal Coordination
· Organize and maintain real estate records, property titles, tax declarations, and survey documents.
· Conduct due diligence on property ownership and encumbrances before transactions.
· Liaise with law firms, notaries, and government offices for document notarization and legal requirements.
4. Regulatory & Government Liaison
· Secure necessary permits and approvals for land transactions, including environmental compliance certificates (ECCs), building permits, and business registrations.
· Facilitate the payment of real property taxes (RPT) and ensure compliance with tax regulations.
5. Client and Stakeholder Coordination
· Provide assistance to clients in understanding the real estate documentation process.
· Coordinate with developers, real estate brokers, surveyors, and buyers/sellers regarding document requirements.
Qualifications & Requirements:
· Bachelors degree in Real Estate Management, Business Administration, Legal Management, or related field.
· At least 3-5 years of experience in real estate documentation, land titling, or related fields.
· Experience working in a real estate company, law firm, or land development firm.
· Certification in Real Estate Services or Land Registration is an advantage.
· Knowledge of geodetic surveys and land mapping is a plus.
· Strong knowledge of Philippine land laws, real estate transactions, land conversion, and land reclassification processes.
· Familiarity with LRA, DENR, DAR, HLURB, BIR, and local government procedures.
· Excellent organizational skills, attention to detail, and ability to handle multiple transactions simultaneously.
· Strong communication and negotiation skills for dealing with clients and government agencies.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint) and document management systems.
Job Type: Full-time
Pay: Php30,000.00 - Php35,000.00 per month
